PERSONNEL MANAGER (Part Time)
Job Description
The Personnel Manager is responsible for the human resource management of orchestra personnel, including overseeing application of the Orchestra Manual, preparing payroll, scheduling musicians, hiring substitute and extra musicians, addressing musician personnel issues and serving as liaison between musicians and the Music Director. This part-time position reports to the General Manager, contributing to the creation of exceptional symphonic music presentations.
The ideal candidate will be energetic, detail-oriented and have experience working with orchestra musicians. They should also exhibit strong project management and problem-solving skills, be an effective and empathetic communicator, enjoy building relationships and have excellent judgement and the ability to maintain confidentiality.
Responsibilities
Personnel Information Management
Maintain and update the online database with current Core Orchestra personnel details.
Add and manage information for Extra and Substitute musicians.
Contract Administration
Prepare annual contracts aligning with the orchestra’s artistic standards and the Orchestra Manual.
Distribute contracts to all Core Orchestra Members by May 1st each year, considering repertoire and player availability.
Contract substitute musicians as needed throughout the season.
Primary Contact Responsibilities
Serve as the main liaison for orchestra members:
Communicate announcements and updates via email.
Respond to inquiries regarding scheduling, working conditions, and other concerns.
Collaborate with the Music Director and Executive Director on personnel issues related to performance
Rehearsal and Concert Oversight
Arrive backstage at least 90 minutes before rehearsals and concerts to:
Ensure all preparations are complete.
Inform orchestra personnel and stage technicians of any changes.
Make personnel announcements during rehearsals as needed.
Provide 5-minute calls for rehearsals and breaks; notify the conductor of the start and end times.
Address musician requests and performance needs, coordinating with management for approval when necessary.
Payroll and Documentation
Prepare per-service fee schedules (payroll) for each concert and submit them promptly to the Executive Director.
Track payroll variations, including doubling, cartage, travel, etc.
Collect and file all legal documents for new musicians in the Philharmonic office.
Ensure timely submission of W-4 forms to the accountant.
Special Events Coordination
Hire Philharmonic musicians for special events as required.
Attend events to serve as a liaison when necessary.
